Student Enrollment and Registration Policy

The Student Enrollment and Registration Policy ensures that all AIES Approved Centers provide a clear, fair, and standardized process for enrolling and registering students in AIES programs. This policy outlines the key responsibilities and measures that centers must implement to ensure accurate record-keeping, compliance, and a positive student experience.

Key Principles

  1. Commitment to Enrollment Standards

Centers must uphold AIES’s enrollment standards to ensure a smooth and transparent process for prospective students. This includes:

  • Verifying that students meet the eligibility criteria for their chosen program.
  • Adhering to enrollment timelines and communicating deadlines effectively.
  • Maintaining accurate and complete enrollment records.

2. Enrollment and Registration Responsibilities

Centers are responsible for managing all aspects of student enrollment and registration, ensuring alignment with AIES guidelines. This includes:

  • Management Responsibilities:
Ensuring accurate submission of student applications, monitoring enrollment compliance, and providing necessary support to students during the process.

  • Student Responsibilities:
Students must complete all required forms accurately, provide necessary documentation, and comply with any additional requirements set by the center or AIES.

  • AIES Responsibilities:
AIES will verify student information, issue Student ID numbers, and provide centers with enrollment confirmation within the stipulated time.

3. Enrollment Fees and Reporting

Centers are responsible for collecting and managing enrollment fees in accordance with AIES’s fee structure. This includes:

  • Submitting a detailed report of enrolled students and corresponding payments to AIES within the specified timeframe.
  • Ensuring that refunds, if applicable, are processed promptly and transparently.

4. Data Accuracy and Compliance

Centers must ensure the accuracy and confidentiality of all student data. This includes:

  • Conducting regular reviews of enrollment data to prevent discrepancies.
  • Complying with AIES’s data protection policies and local regulations.
  • Addressing any identified errors within 10 days of notification.

5. Withdrawal and Transfer Processes

Centers must provide students with clear guidance on withdrawal and transfer procedures, ensuring fair and transparent handling of such requests.

6. Orientation and Support

Centers are required to:

  • Conduct an orientation program for new students, introducing them to the program, policies, and available resources.
  • Serve as the primary point of contact for student inquiries during the enrollment process, escalating issues to AIES when necessary.

7. Non-Compliance and Penalties

Failure to comply with this policy may result in:

  • Penalties or fines for delayed or inaccurate reporting.
  • Temporary suspension or revocation of AIES approval status for severe violations.
  • Additional measures as deemed necessary by AIES to ensure compliance.
